This unit describes the skills and knowledge required to establish standards for the design and production of organisational documents and to manage document design and production processes to ensure agreed standards are met.
It applies to individuals employed in a range of work environments who require well-developed skills in the use of a range of software packages to establish, document and implement consistent standards of document design within an organisation.

The auto-mark questions (Assessment 1) are stand alone, and must be completed separately from Assessments 2, and 1.3. These are completed online.
You are required to complete Assessments 2 and 3 with reference to:
(a) a workplace project, o
(b) the MacVille cafes study provided.
Instructions
Once you feel confident that you have covered the learning materials for this unit, you are ready to attempt this assessment. Construct your assessment in a commonly used software program such as Microsoft Word, or you can download a Microsoft Word copy of this assessment from the relevant study period of your course in OpenSpace.
To help Open Colleges manage your assessment, please use the following file-naming convention when you save your Microsoft Word document.
Your file should be named and saved to your computer’s hard drive using your [student number]_[assessment number].doc

Assessment submission
When you are ready to submit your assessment, upload the file in OpenSpace using the Assessment Upload links in the relevant module of your course. The Student Lounge provides a 'Quick Guide to Uploading Assessments' if you need further assistance. Uploading assessments in OpenSpace will enable Open Colleges to provide you with the fastest feedback and grade on your assessment.
It is important that you keep a copy of all electronic and hardcopy assessments submitted to Open Colleges.

Assessment 2 – Document standards
and processes
Introduction:
You are a new recruit from AMPLITUDE management consultancy. Co-owner Sarah McCarthy has sent you on assignment to the client firm ‘MacVille Cafes’.
Create a set of document standards and processes for MacVille Cafes. As part of your processes, you must create a Word template that includes macros for specific design features, such as headings and page layout.
The information for the scenario is supplied in the file ‘MacVille Cafes Case Study Scenario’ found in the ‘Additional Resources’ icon on the top left of OpenSpace.
Your document process, standards and template must include each of the parts specified below.
Part A
Outline the needs of the organisation in relation to implementing a new document system.
Part B
List three organisations external to yours that can supply technical assistance with building macros.
Part C
Prepare a process showing how documents are to be produced.
Part D
Make a list of five types of documents used by the organisation.
Part E
Prepare a one-page template that contains the key style requirements for documents for the organisation.
Specifications
Your standards and processes must include the following as a minimum:
Part A – Organisational needs
Outline the needs of the organisation in relation to implementing a new document system. Briefly describe the organisation’s needs in relation to:
· information technology capabilities and software application requirements (refer to Topic 1.1.6 of the Module for more information)
· legislative requirements (refer to Topic 1.1.2 of the Module for more information)
· costs (refer to Topic 1.1.7 of the Module for more information)
· relevant organisational policies and procedures (refer to Topic 1.1.2 in the Module for more information).
If you are using the case study, look at the Cu
ent Technology, Budget and Style Guide sections to assist you. Use the Appendix 1 template to assist you. (200 words)
Part B – Help
List three organisations external to yours that can supply technical assistance with building macros.
Do an internet search for relevant organisations to act as your help sources. Try search for word processing professionals, IT professionals, graphic designers, editors or printers. (50 words)
Part C – Production processes
Describe the steps in the document production process.
Review Topic 1.1.6 in your Module for more information. The process of producing documents is an iterative process involving drafting, checking, and revising the document. It should continue until a document of acceptable quality is produced (100 words).
Part D – Documents
Review Topic 1.1.4 in your Module then list five types of documents used by the organisation.
Documents are written, printed, or electronic matter that provides information or evidence or that serves as an official record (50 words).
Part E – Document template
1. Prepare a one-page template that contains the key style requirements for documents for the organisation, including:
· font
· spacing
· bullet and numbering standards
· headings
· margins
As part of the template, create the following macros that automatically insert the company details:
· name
· company address
· company phone numbe
· email address
If you are using the case study, look at the organisational Style Guide for advice on how to layout the template.
· For more information on how to create a template, review Topic1.2 of the Module
· To set up your font, spacing headings, bullets and adjust the styles in Word, refer to Topic 1.3.1 in the Module
· For instructions on how to record macros, refer to Topic 1.3.3 in the Module
2. Once you have created the template explain each of the design features and macros used in the template. In your explanatory page, provide an:
· overview of the style requirements (if using the case study, refer to the Style Guide for more information)
· explanation of how to use the macros (i.e. what keys to press and what each macro will do)
Make sure that your explanatory page is clear as you will need to refer to it in your next assessment. (250 words)
