Introduction
The concept of the event of family fun day allows families to enjoy any special day enjoying and entertaining by involving in different fun filled activities (Bowdin, 2010). The project plan for the events of the Family Fun Day which will be held on Sunday, 2nd of December 2018 is detailed. Family Fun day -2018 is organized on Sunday 25 November, 2018 from 11 am to 3pm at Family Fun Day at Northward Hill Reserve, Papa Westray, United Kingdom.
Suitable planning of the event will require to take into consideration certain key aspects like risk evaluation, safety and insurance, legislation and available resource and requirements for the families. To ensure that the Family Fun Day is a great success and goes ahead there are some laws and rules to be planned beforehand.
Assessment of risks whether the equipment are hired be it the deck chair, balloons, side stalls, music systems, vehicles for passengers or food trucks every equipment should have its own inclusive assessment of risk for security and safety ensured to protect the premises. The risk assessment should comply with the UK safety laws and regulations (Dow, PMP, & Taylor, 2010).
Paper works and documented files of agreements of safety plan for the cars and attendees in and out need to be planned keeping in mind the number of families attending the event approximately.
Planning the date for the event carefully by consulting weather forecasters about any rain or snowfall will avoid facing distu
ances in the event. The date should not clash with other similar events occu
ing in the same locality.
Suitable place should be planned keeping in mind the activities and the people to be involved in the family fun day activities. Time for the event should be planned so that every activity is enjoyed and participated (Ferdinand & Kitchin, 2012). Time to pack up and clean up should also be planned in the event.
Promotion of the event – Family Fun Day through emails, newsletters, press releases, newspapers, posters radios and television are to be done for making public aware (Kerzner, 2009). Social media like Facebook, Twitter, LinkedIn, Instagram, whatsapp can be used for informing people of the event beforehand. The legal needs like equipment provider should adhere to the Health and Safety Act, 1974 and the provision of Work Equipment Regulations Act, 1998. The food and drink to be sold should by suppliers and providers should be registered and meet the Food Standard Quality. Planning for applying to the local council for live entertainment, speaking to the venue authority and holding gathering will be effective for the event organizing. Planning to thank the suppliers and providers helped to make the event successful and planning to send out the press releases to the local media for online and print. Background and Scope of Event
