Instructions:
For this
task you must conduct a meeting in which you will present your communication
strategy from Assessment Task 4.
This
meeting must include at least three members of the work unit/team/department
(and focused on in Assessment Task 4).
The meeting
will need to be recorded for submission.
Part A – Email Invitation |
Send an
email (you can include an electronic calendar invite, if you like) to the three
colleagues you have chosen.
Write a
clear, professional email that explains the purpose of the meeting (to discuss
the communication strategy). Your email must also include the following points:
- A
description of the work you have done on the communication strategy
- The
meeting will include:
XXXXXXXXXXA presentation of the strategy to the group
XXXXXXXXXXA discussion about how the strategy reflects
the overall policies, procedures and objectives of the organisation
XXXXXXXXXXA review of each part of the strategy
A discussion about any issues and
need for changes to the strategy.
- Arrangements
for the meeting – the time and location.
- Mention
that the meeting will be recorded for the purposes of your assessment
- Meeting
attendees should respond in writing to accept your invite.
Remember to
attach a copy of your communication strategy so they can review it before the
meeting.
You will
need to provide a copy of this email to your assessor – you may like to copy
them into the email
Part B – Lead a meeting to present and review the strategy |
You will
now need to lead your meeting and present the communication strategy to your
three chosen people.
You will
need to record the meeting and submit it to your assessor.
Prior to
the meeting you must obtain consent from each participant who is participating
to be videoed /recorded. Use the following form to obtain consent:

During the
meeting you will ask for feedback. This is required for you to complete Part C
of this assessment – you must take thorough notes of the outcomes of the
meeting.
You need to prepare by making sure the following resources will be
available in the meeting room:
- A
copy of your strategy
- Relevant
policies and procedures – for example, communication, access and equity,
and privacy
- Goals
and objectives of the organisation
- A
video recorder or other recording device (for example, you might like to use
a mobile phone, tablet or other device)
- Other
relevant documents.
You must supplement your session with presentation media, which can be
hard copy or electronic and may include such things as:
- handouts
- a
PowerPoint presentation
- YouTube
videos
- flowcharts.
During the meeting you will need to cover the following points (you may
like to present these to the group as an agenda):
- Welcome
and housekeeping.
- Present
the communication strategy using effective presentation media.
- Discuss
how the strategy reflects the overall policies, procedures and objectives
of the organisation.
- Review
each part of the strategy and ask for the group’s feedback.
- Discuss
any issues and need for changes to the strategy
- Close
the meeting professionally and thank your group for their time.
Part C – Evaluate the strategy |
You are to
use the feedback you received in your meeting to evaluate the communication
strategy. You will do this by writing a report of 500–800 words that answers
the following questions:
- What
were the main points made in feedback of the communication strategy?
- What
changes do you need to make to the strategy?
- What
are the major issues, challenges or barriers to communication in this
business unit/team?
- What
networks are available to improve the flow of communication and
information?
- Thinking
of the process that you went through to develop and evaluate this
communication strategy – what do you think went well, and what
opportunities are there for continuous improvement?
