The final project report will take the form of an academic report of approximately 2500 words not
including references.

Note: The case study below may not provide all the information necessary to complete the
project. Students will have to use their personal experiences to complete some aspects of the
assignment. Students may also seek clarification from their tutor.
Background
“Course Registration Process of Eastern State University (ESU)”
The process of assigning professors to courses and the registration of students is a frustrating and
time-consuming experience. The management of Eastern State University (ESU) is looking to hire
a business analyst who can make their business process run more efficiently.
After the professors of ESU have decided which courses they are going to teach for the semester,
the Registrar's office enters the information into the computer system. A batch report is printed for
the professors indicating which courses they will teach. A course catalogue is printed and
distributed to the students.
The students cu
ently fill out (multipart, multicolour) registration forms that indicate their choice
in courses and return the completed forms to the Registrar's office. The typical student load is four
courses. The staff of the Registrar's office then enters the students' forms into the mainframe
computer system. Once the students' cu
iculum for the semester has been entered, a batch job is
un overnight to assign students to courses. Most of the time, the students get their first choice;
however, in those cases where there is a conflict, the Registrar's office talks with each student to
get additional choices. Once all the students have been successfully assigned to courses, a hard
copy of the students' schedule is sent to the students for their verification. Most student
egistrations are processed within a week, but some exceptional cases take up to two weeks to
solve. Students can change (add or drop) their registered courses during the first two weeks of the
semester. Therefore, they should talk with the staff at Registrar’s office at their earliest and such
equests must be only considered when the minimum limit of enrolments for the course is already
satisfied. Otherwise, the requests will be rejected, and students must proceed with their first
choices.
Once the initial registration period is completed, professors receive a student roster for each course
they are scheduled to teach. At the beginning of the teaching period, professors should share
teaching materials of the course with the given student list. Throughout the teaching period,
professors may be able to change (add or drop) the teaching materials. Furthermore, the professors
will be able to record and view the grades and marks of the assessment taken by the students in
their classes.
At the end of the semester, the course coordinator conducts a course reviewing session based on
the feedbacks of the students. Under this session, students are given a form to fill out a form
egarding their learning experience of the course. The form contains three sections: the feedback
about the course content, feedback about the teaching staff and feedback about the registration
process. The staff in Registrar’s office creates a summary report based on feedbacks about course
content and teaching staff and send it to relevant professor who taught the course. The summary
eport on registration process will be shared with the registrar and course coordinator. These
summary reports are used to improve the course registration process.
Problem Statement
1. At the beginning of each semester, students may request a course catalogue containing a list of
course offerings for the semester.
2. Information about each course, such as professor, department, and prerequisites will be
included to help students make informed decisions.
3. The new system will allow students to select four course offerings for the coming semester.
4. In addition, each student will indicate two alternative choices in case a course offering becomes
filled or cancelled.
5. No course offering will have more than ten students or fewer than three students.
6. A course offering with fewer than three students will be cancelled.
7. Some courses have course pre-requisites.
8. Once the registration process is completed for a student, the registration system sends
information to the billing system so the student can be billed for the semester.
9. Professors must be able to access the online system to indicate which courses they will be
teaching, and to see which students signed up for their course offerings.
10. For each semester, there is a period that students can change their schedule. Students must be
able to access the system during this time to add or drop courses.
11. At the end of the semester, the students will be able to view a performance report containing
the grades of all courses taken by him or her.
