The purpose of assignment is to assess students on the following Learning
Outcomes:
LO1: Describe and apply project management principles to implement a complete IT project
lifecycle
LO2: Prepare a comprehensive and detailed project plan, including project initiation and scope
definition
LO3: Analyse the key features and processes required to execute, control and coordinate the
project
LO4: Evaluate requirements for project closure, acceptance and support

The aim of this report is to demonstrate the skills and knowledge of planning the project
throughout different project management knowledgfe areas. You are required to select a
specific IT/IS project and apply these skills and knowledge according to the requirements
stated below. The project can be implementing/upgrading an infrastructure, a system or
oth. Major examples of these projects can be (but not limited to):
• Information system development
• Smartphone app development
• Hardware infrastructure development
• Website/web service development
Rememeber that these are only examples. In your report you need to specify what exactly
the project is and what is its main objective(s).
Hint: It is recommended that you discuss with your lecturer your selected project to make
sure that you are in the right track. This communication is also recommended while you are
developing your report by time.
Requirements:
In your project you are required to consider a number of knowledge areas of project
management which include:
1. Scope Management:
In this area you need to consider the following:
a. Defining the project requirements. You are required to define at least five
equirements.
. Develop a draft version of the project scope statement for the project. Be as
specific as possible in describing the characteristics and requirements, as well
as all of the project's deliverables. Ensure the testing and training as part of
the project scope.

c. Develop the Work Breakdown Structure (WBS) for the project. Break down
the work to Level 3 or Level 4, as appropriate. Be sure the WBS is based on
the project description above, the project scope statement created in task b,
and any other relevant information.
d. Develop a strategy for scope validation and change control for this project.
Write a short summary describing the key points of the strategy.
2. Time management:
You need to create the project schedule based on the scope statement and the WBS
previously implemented which includes:
a. Estimating the duration of the project activities based on the WBS and
considering the resources assignment. Describe the process of how you
calculated this estimate.
. The Gantt chart.
3. Cost management:
You need to estimate the cost of the project based on the activities and resources
assigned. Consider the following costs as well:
a. Training and testing costs.
. Reserves
Also, you state the budgeting based on the duration of the project. Present your
udgeting in a table.
4. Stakeholders and communications management:

a. Identify the different stakeholders in your project. You need to identify at
least 7 stakeholders.
. Create a table for the stakehoders. This table should include:
i. The stakehoders’ names
ii. His/her postion
iii. His/her relationship to the project
iv. The media of cumunicating with him/her and the due time

5. Risk Mangement:

a. Define at least 3 negative risks related to your project that could be
estimated.
. Relate each risk to the co
esponding knowledge area.
c. Create a
eif risk register for each risk explaining your strategy on how to
metigate it.

General Instruction
1. Your scope, time estimate, cost estimate and other requirements should, somehow, match
the project based on its type, nature and size. You need to be realistic and logic as much as
you can.
2. The word limit for the assignment is 3000.
3. The Font size needs to be “12” with font type as Times New Roman or Arial.
4. Plagiarism: Your project and work should not be similar to any of your classmates’ work.
Otherwise, that would be considered as a kind of plagiarism.
Submit your report into the co
esponding Moodle drop-box for the assignment. Note that
this will be a turn-it-in drop box and as such you will be provided with a similarity score. This
will be considered when grading the assignment. Note that incidents of plagiarism will be
penalised. If your similarity score is high you can re-submit your report, but re-submission is
only allowed up to the due date. If you submit your assignment after the due date and time
e-submission will not be allowed.
5. Late Submission: All work is due by the due date and time. Late submissions will be
penalised at the rate of 10% per day including weekends.

Introduction
This report proposes development of a new Information system for the target company Susan Bell Research. It is a qualitative research consulting company based in Sydney, Australia and serves clients from Australia, UK and Europe. The company is an intermediary in Intellectual Property and research promotion process and takes an important position in research and development in Sydney. Research information is used by a variety of bodies like researchers, research managers, research strategists, publication editors, media and general public. As a result of thorough understanding of the issues and needs of Susan Bell, this report proposes designing and implementation of a new IS as a possible solution for the company.
The existing information management systems operate at regional level and with significant increase in the applications for funding and other research-related IP, the system lacks centralization. Cu
ently, documentation is processed manually and is then stored in electronic databases. The use of two mediums is causing management issues and information visibility issues. Further, access to the information needs appropriate management, considering the sensitivity of information in Intellectual Property. A high level of search method and interactive and intuitive interface of intranet and outside network is required at the company to enable users like public academic institutions, government bodies and industry experts to access relevant information successfully. The existing IS cannot cater to these challenges since it lacks centralization and uses non-uniform medium of documentation storage format.
This report presents the scope of the project clearly stating the objectives that need to be fulfilled through the proposed solution and requirements clearly identified. The four main processes in the Information System development are described. These include scope management, cost management, stakeholder and communication management and risk management. Work
eakdown structure is established for the target company to summarize a strategy for scope validation. We have developed a project schedule and Gantt Chart based on the WBS. We have estimated the costs of developing a new IS for Susan Bell based on the time schedule. We further identified stakeholders with complete details relevant to the project and their means of communication like the person involved, their position, responsibility and means and frequency of communication. Lastly, we have outlined the estimated risks involved in the project and their mitigation strategy. The three main risks are elaborated such as project risk, technology and technical risk and security risk. A risk register is developed depicting three risks of each type with their likelihood of occurance, impact and mitigation method.
Objective

The intellectual property management can be improved by fulfilling the following objectives:
· The project shall be phased following software development lifecycle.
· The option of outsourcing the software and customizing it according to the company’s needs instead of creating the software within the company, shall be explored.
· Adopting user centered approach in collecting data and feedback during every stage of the project to point out the best fit for the company.
· Setting up separate networks for different types of users of the new system and implementing robust network security system with firewalls, encryption anf other physical security mechanisms.
· Cutting costs using open source software
· Estimating the time schedule within the proposed time frame of 11 months for completion of the project and offering cost estimations that include all costs within the proposed cost of $83,000.

In order to determine the requirements of the system, it is essential to gain insight in the cu
ent system and the requirements of the stakeholders. An extensive gathering of data and user feedback and its analysis is required. The cu
ent system does not use tools to manage and keep track of patents, licenses, research documents and trademarks. The cu
ent situation of the company is analyzed and the key requirements are
· Centralization of information management.
· Security
· Easy retrieval of information.
· Software tools for better IP management
These requirements shall be maintained by deciding them into two categories, routine objective and development objectives. The project managers shall manage the routine objectives. The resource requirement requests shall be collected in capacity plan or master project schedule so that total resource demand for the company is known. The resource requirements are compared to the forecasts of availability received from project managers.

Scope Validation Strategy
Adoption and institution of strategy based on technology competence in project design, design review and verification of scope definition should be done alongside the project implementation. The strategy that should be adopted for scope validation and change control includes the following key points.
1. Required inputs shall be collected in a project charter, enlisting the enterprise environmental factors and company’s process assets.
2. A work
eakdown structure shall be created that shall outline the hierarchy of project deliverables. The WBS shall form discrete pieces of information.
