Context:
Attending, managing and participating in meetings is an important aspect of working in public health. There are many situations in health organisations, and in working on health projects, that involve managing meetings, including taking minutes. Minutes are the written documentation which communicates to both attendees and non-attendees what occu
ed at the meeting. Managing health projects requires managing relationships with stakeholders, including participation in meetings, and preparing and disseminating meeting documents, such as agendas and minutes. This assessment task will help you to develop a useful ‘real world’ skill for working in health organisations.
Instructions:
Your task for this assessment is to watch a video recording of a meeting of a Community Health Assessment Partnership group in Portage County, Ohio (U.S.A) and take minutes of this meeting. Your minutes must be a succinct and accurate summary of what was discussed at the meeting. You must write the minutes in the template on the following page. Insert your minutes in the subheadings provided.
This meeting takes place in the U.S. but in all other respects is very typical of the types of meetings that occur within health organisations and health programs in Australia. This meeting relates specifically to undertaking a health needs assessment. Alternatively, you can find a relevant meeting local to you (i.e. council meeting, committee meeting for a community group) and attend this and take minute). If you attend a different meeting you can construct a minutes template similar to that on the following page.
For the Portage County video, you do not have information on attendees’ names and apologies (people who could not attend the specific meeting) so it is not necessary to note these. Normally you would note these in meeting minutes. In refe
ing to people discussing points in this meeting, you can refer to the man leading the meeting as the ‘chair’ (The Chair raised the point that, the Chair explained that…).
In refe
ing to other people who discuss particular points, you can use their first names if identified (e.g. Josh) or you can use a way to identify people politely based on their clothing or appearance ie. ‘Woman in pink T-shirt moved the motion’, or ‘Man in black T-shirt explained that’. In a normal meeting, you would use people’s names in meeting minutes, or a way of identifying them, such as initials: ‘MS identified the need to find out about X. KO agreed to follow up on this via email’.
It is important to note that minutes are not a detailed transcript of discussion. Avoid providing excessive detail. Minute taking involves communicating what occu
ed in a meeting in a way that prioritises key information and decisions, and avoids summarising much of the detailed conversation that occurs, unless it contains points relevant to decisions or actions that need to be taken. No specific minute taking ‘system’ is specified for this assessment task, but it would be helpful to focus on documenting three points in preparing the minutes:
• What was decided
• What was accomplished
• What was agreed and actions for attendees

The meeting was welcomed and chaired by the speaker Mr.X (name not mentioned). Agenda was discussed in the welcome address as to decide an alternate deadline for the collective assignment on the perceived health care needs and how many of those perceived needs meet the threshold of having two supporters in the partnership.

The task was given at the end of the meeting held on 24th July 2014, and based on the responses of the members, Mr. Josh has complied the results. Input should be given by all the members as was also discussed in the last meeting. This shall also comprise the views of individual partnership members. Interested members were requested to inquire and respond to the same.
