MITIGATE THE RISK IN THE CONTEXT OF PAYROLL/HR FUNCTION
.
Maintaining master payroll: Master payroll contains all the information about the employees of the organisation. The following are the
oad information generally maintained by HR department: Maintaining employee classification data which included Personal details, Employee id, wages details, Attendance data, and monthly payroll data (confidential).
1. Risk of Maintaining and securing master payroll file/data:
· Biggest challenge and threat being to maintain and secure the master payroll file/data for whole company;
· Buy or develop in house payroll software considering the cost on one hand and ensuring the security of data on the other.
· Regularly update login credentials, KYC details online could lead to data being lost or misplaced.
· High risk of Payroll system being disrupted/subverted by fraudulent activity and human e
or either wilfully or by chance.
· Segregation of duties between person responsible for preparing payroll in books and one running/processing the monthly payroll payment
· Risk of connivance between HR attendance specialist and Payroll processor leading to wages being released for full day even though employee worked only half-day. This can be cross checked .This is called padding hours.
· Buddy punching – This means requesting another employee to punch working hours and attendance for him through proxy.
