Dear Employees,
XYZ Company recognizes that the inappropriate use of e-mail and text messaging can

information security code of the company and this may in turn deteriorate the public image of the
organization. To prevent the occu
ence of such issues a policy on acceptable use of email and
text messaging has been developed by the company to provide all employees with clear and
distinct rules in respect of the appropriate and safe use of e-mail systems and text messaging
systems.
This policy of the company covers procedures for using the e-mail systems and text messaging
systems within the company in an appropriate manner. The policy applies to all organizational
elements including the company’s employees, contractors, vendors, business partners, or any
other stakeholder who may use, monitor, or support the email systems of XYZ company and it
also applies to each and every mode of text messaging applied by any of the stakeholders related
to any issue of the company.
XYZ Company’s e-mail systems or text messaging, while working within the company premise,
should not be used by the employees for:
 Unlawful activities
 Conveying threats or for harassing
 Political propaganda
 Personal commercial purpose that can
 Defaming any other individual, including co-workers, or any other stakeholders of the
company
It is to be noted that non-compliance with the company’s policy regarding use of e-mail systems
and text messaging may act as ground for disciplinary action against an employee and such
action may encompass harsh steps like termination of employment.

Being the Vice President of Marketing of a cosmetic firm I should convey to the customers
appropriately why the company has decided to stop making all such products that use animal
testing. Animal testing puts the life of animals in jeopardy and this should be prevented for the
sake of ethics and wellbeing of the human society. But to convey the message to the customers in
an effective manner I should incorporate the “you attitude” within my message as this strategy
will surely complement the company’s image and its popularity among the greater population.
Primarily I should use this strategy to turn my message into a persuasive one and a credible one
in which the customers can find something reserved for them. The “you attitude” will surely
make the customers feel that the policy of the company is for their benefit and not only for the
sole benefit of the firm. Infusing the “you attitude” can make the customers realize that the
firm’s policy is empathetic towards the feelings of the customers regarding social issues.
Moreover, this strategy will also help me in establishing a respectful relationship between the
company and the customers. Besides, by incorporating the “you attitude”, I can convey it
effectively to the customers that the policy of the company is not for benefitting the company but
for benefitting them and that, by complying with the company’s policy the customers will be
actually saving the future of some specific animal species and thereby, satisfying their social
esponsibilities of being human beings.
